A rent receipt is a written confirmation that a tenant has paid their rent. It protects both landlord and tenant — the tenant has proof of payment, and the landlord has a documented payment record. In several US states, providing a rent receipt is legally required when a tenant pays in cash.
Required by law in some states: California, Maryland, New Jersey, and Washington require landlords to provide a rent receipt upon request (or automatically when payment is made in cash). Always check your state’s landlord-tenant laws.

| Texas | Not legally required but strongly recommended | Protects both parties in payment disputes |

Rent Receipt Do’s and Don’ts
✓ Always Do This
- Issue a receipt for every payment received
- Always issue for cash payments (legally required in many states)
- Keep a copy of every receipt you issue
- Number receipts sequentially for easy tracking
- Specify the exact payment period covered
- Note any balance still outstanding
- Sign every receipt as landlord/agent
✗ Never Do This
- Accept cash without providing a receipt
- Use vague descriptions — always specify the period covered
- Alter or backdate a receipt
- Issue a receipt before the payment clears (for checks)
- Forget to note partial payments separately
- Discard old receipts — keep 7 years minimum
- Sign a receipt for someone else’s property
Frequently Asked Questions
Are landlords required to provide rent receipts in the US?
It depends on your state. Several states — including California, Maryland, New Jersey, and Washington — require landlords to provide receipts for cash payments or upon tenant request. Even where not legally required, providing receipts is strongly recommended as it protects both parties in any payment dispute.
Does a rent receipt need to be signed?
Yes — a receipt should always be signed by the landlord or authorized property manager. An unsigned receipt has less legal weight. The tenant’s signature is not typically required on a rent receipt (it’s your confirmation of their payment, not a contract).
What if a tenant pays by Zelle, Venmo, or bank transfer?
Digital payment apps create their own transaction records, but it’s still good practice to issue a formal rent receipt. Note the payment method and any transaction reference number. Some states require a receipt regardless of payment method.
How long should I keep rent receipts?
Keep rent receipts for at least 3 years after a tenancy ends — 7 years is safer, especially for tax purposes. Rental income must be reported on your federal and state tax returns, and receipts serve as supporting documentation if audited.
Can I use this receipt for partial rent payments?
Yes. For partial payments, fill in the exact amount received and note the remaining balance in the “Balance Remaining” field of the detailed template. Always document partial payments carefully — they can become important evidence if you later need to pursue late fees or eviction proceedings.
